This policy explains what THE BUREAU OF SCENT™ collects when you join the Agent Registry, why it is collected, how long it is kept, and how you can exercise your rights. It applies to both the main Join The Bureau registration form and the Join The Bureau popup registration form.

1. Information collected

When you register, we record:

• Agent Name
• Agent Email
• Your issued Agent ID
• The submission source (which form was used)
• The registration timestamp
• The email-delivery status of your clearance email

Hosting and email service providers may also generate limited technical security logs when the form is submitted.

2. Purpose

The information is used only to:

• Create or retrieve your Agent ID;
• Maintain one registry record per email address;
• Prevent duplicate registration;
• Send one transactional clearance email requested through the form.

Your email address is normalised and the registry is checked so that a single record and a single Agent ID are maintained for each email address.

3. Voluntary submission

You voluntarily enter your Agent Name and Agent Email to request the registration service described above. The form collects no consent, agreement, or marketing fields, and submitting it simply requests that we create or retrieve your Agent ID and send your clearance email.

4. No marketing

This registration form does not subscribe you to marketing communications. It issues one transactional clearance email only. No promotional or launch emails are sent from your registration record. Should marketing communication ever be offered, it will require a separate, independent opt-in.

5. Data retention

Registry records may be retained for operational, security, audit, fraud-prevention, and continuity purposes unless deletion is legally required or specifically requested and permitted. You may request earlier deletion at any time, subject to any lawful retention requirement.

6. Your rights

You may request access to the information stored about you, request correction of inaccurate information, and request deletion where applicable. To make a request, email inquiry@thebureauofscent.com using the subject PRIVACY REQUEST. We aim to acknowledge requests within seven business days and to process them within applicable legal timelines.

These Terms and Conditions govern your access to this website and your registration with the Agent Registry operated by THE BUREAU OF SCENT™ ("the Bureau", "we", "us"). They apply to both the main Join The Bureau registration form and the Join The Bureau popup registration form. By accessing the website or submitting a registration, you agree to these terms.

1. Acceptance of Terms

By using this website or joining the Agent Registry, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions and by the Data Privacy Policy. If you do not agree, do not use the website or submit a registration.

2. Website Usage

You agree to use this website only for lawful purposes and in a manner that does not infringe the rights of, or restrict or inhibit the use of, this website by any other party. You may not attempt to gain unauthorised access to the website, its servers, or any connected systems, or interfere with its normal operation.

3. Registration Eligibility

Registration is intended for individuals who are able to form a binding agreement in their jurisdiction. You must not register on behalf of another person without authorisation, and you must not submit information if you are below the age at which you can provide valid consent in your location unless a parent or lawful guardian has authorised it.

4. Accuracy of Information

You agree to provide accurate, current, and complete information when registering, including a valid Agent Name and Agent Email. You are responsible for the information you submit. Registration does not constitute a purchase, preorder, reservation, deposit, or guarantee of product availability.

5. Intellectual Property Rights

All content on this website — including text, branding, the Bureau name and seal, graphics, layout, and design — is owned by or licensed to THE BUREAU OF SCENT™ and is protected by applicable intellectual property laws. You may not copy, reproduce, distribute, or create derivative works from any part of this website without prior written permission.

6. Limitation of Liability

This website and the Agent Registry are provided on an "as is" and "as available" basis. To the fullest extent permitted by law, THE BUREAU OF SCENT™ shall not be liable for any indirect, incidental, or consequential loss arising from your use of the website or from your registration. An Agent ID is a provisional registry identifier only and carries no financial value or entitlement.

7. Communications Regarding Registration

When you register, we issue one official clearance email confirming your entry in the Agent Registry and your provisional Agent ID. These communications are operational and relate directly to your registration. Email is delivered through approved email service providers acting on behalf of the Bureau.

8. Changes to Services

We may update, suspend, or discontinue any part of the website, the Agent Registry, or these Terms and Conditions at any time. Where changes are material, we will take reasonable steps to make the updated terms available. Continued use of the website after changes take effect constitutes acceptance of the revised terms.

9. Privacy Policy Reference

Your registration and the information you provide are also governed by our Data Privacy Policy, which explains what we collect, why, and how it is processed and protected. The Data Privacy Policy forms part of your agreement with the Bureau.
